AOE Codes

Ask at Order Entry (AOE) codes enable the use of question prompting when sending certain required order information from your Laboratory Information System (LIS) to MayoAccess. AOE codes may be required for either new or existing laboratory tests.

If you build test queries in your LIS using Observation Result Segment (OBX) fields, use the AOE spreadsheet when building test queries. The AOE spreadsheet includes the result codes to build for every test defined in MayoAccess, as well as all associated questions.

Building AOE codes automatically in OBX fields helps ensure that your order is filed to a "Ready" status in MayoAccess, and prevents you from having to answer most AOE questions manually. If you do not or cannot build AOE codes automatically in OBX fields, your order is filed to an "Incomplete" status in MayoAccess. You must then answer AOE questions manually or send the data as notes in NTE comment segments. These print under the Performing Lab Notes header on the MayoAccess packing list.

In some cases, transmitting answers to AOE questions in OBX automatically may render an "Incomplete" status in MayoAccess. This can occur when defined AOE tests prompt a question that is not defined in our laboratory system or prompt a question for which the result codes are not available. You must then define these questions in MayoAccess using the Q codes provided on the AOE spreadsheet.

The AOE spreadsheet includes three tabs:

  1. Lab defined AOE - Lists the AOE codes to build using OBX fields. Answers to the associated questions complete your order and file it to a "Ready" status.

  2. MayoAccess defined Questions - Lists the Q codes and questions. These questions do not prompt automatically, resulting in an "Incomplete" status in MayoAccess. Although it is not part of the test setup process, it is recommended that you build Q codes using OBX fields whenever possible. Doing so enables more orders to be filed to a "Ready" status. If you do not or cannot build Q codes, you must manually answer the associated Q questions in MayoAccess or send the data as notes in NTE comment segments.

  3. MA defined Question options - Lists multiple choice questions. These questions result in a drop-down menu in MayoAccess from which you must select an answer. In order for these questions to file into MayoAccess correctly, the AOE questions must be built verbatim and must be sent from a drop-down menu in your LIS.
